This Privacy Policy explains how Villagrana Logistics Inc. collects, uses, discloses, protects, and retains information through the VILA Ops internal operations portal.
1. Scope
This policy applies to information collected through VILA Ops and related internal portal features. It does not replace separate company policies, payroll system notices, Amazon/DSP requirements, government/legal obligations, or other employment notices provided separately.
2. Information Collected
Account and employee details
- Name, email, phone, role, station/team, profile photo/avatar, hire date, birthday/anniversary fields if provided.
- Account status, approval status, permissions, archived/access-revoked status.
Portal activity
- Login/logout records, browser/device details, IP-related technical logs if available, failed login or security activity.
- Page activity, audit logs, admin actions, exports, approvals, denials, and role changes.
Operational records
- Device/phone inspections, route or form submissions, time-off requests, notes, timestamps, submitted images, GPS tied to specific forms where enabled, and form duration data.
- Messages, chatroom activity, reactions, read receipts, reports, moderation flags, and AI-assisted review flags.
Compliance requests
- Privacy requests, deletion requests, correction requests, personnel-file requests, accessibility reports, cookie choices, and employee acknowledgments.
3. How Information Is Used
Information may be used for scheduling, route operations, asset/device tracking, employee support, time-off review, communications, safety documentation, compliance, payroll-support research, audits, investigations, dispute resolution, legal/business recordkeeping, training/support of the portal, and administration of employee accounts.
5. Cookies, Local Storage, and Tracking Controls
The portal may use cookies, local storage, service workers, and similar technologies for login sessions, security, route protection, saved preferences, accessibility settings, app install support, offline functions, form drafts, and cookie choices. Non-essential analytics or marketing tracking should remain disabled unless reviewed and enabled through the cookie/tracking controls.
6. AI-Assisted Features
VILA Ops may include AI-assisted or rules-based features such as site search, assistant responses, message screening, device/photo damage flagging, and admin summaries. These tools are intended to support review, not replace management judgment. Final decisions should be made by authorized management/admins.
7. Privacy and Account Requests
Users may submit requests to access, correct, delete, limit, opt out where applicable, or review certain information through the Contact/Privacy Request page or Account Settings. Requests may be limited or denied where retention is needed for payroll, HR, safety, legal, audit, operational, investigation, contractual, or business record reasons.
8. Security
The portal uses authentication, role-based access, Firestore rules, protected routes, admin logs, and other controls designed to restrict access. No website can guarantee absolute security. Users must protect credentials and promptly report suspected unauthorized access.
