Internal Portal Terms of Use

These Internal Portal Terms of Use explain the rules for using VILA Ops, a company-controlled internal operations system for authorized Villagrana Logistics Inc. users only.

Internal-use notice: These pages are written for an internal employee operations portal, not a public SaaS product. They should be reviewed by California employment/privacy counsel before final distribution.

1. Authorized Access Only

VILA Ops is available only to authorized employees, managers, dispatchers, admins, owners, and other approved company users. Access may be pending, approved, restricted, suspended, archived, revoked, or terminated based on operational need, employment/account status, security requirements, or management review.

  • Do not share passwords, login links, or access credentials.
  • Do not attempt to access another user’s account or restricted admin areas.
  • Do not bypass authentication, role permissions, approval workflows, or security controls.

2. Accounts, Roles, and Admin Authority

Accounts and permissions are company-controlled. User roles may include owner, admin, manager, dispatcher, employee, pending user, archived user, or other internal access status. Management may approve, deny, suspend, archive, or restrict accounts where needed for security, operational, HR, investigation, or business record reasons.

3. Acceptable Use

Users must use VILA Ops only for work-related, authorized, and accurate operational activity. Users may not submit false information, misuse chatrooms, upload inappropriate content, harass others, interfere with the system, or use the portal for personal, unlawful, or unauthorized purposes.

Required user conduct

  • Submit accurate form and photo records.
  • Report issues promptly through approved channels.
  • Use professional workplace communication.
  • Follow management instructions if the site is unavailable.

Prohibited activity

  • False or misleading submissions.
  • Unauthorized screenshots, exports, or sharing.
  • Harassment, threats, or inappropriate uploads.
  • Security bypass or credential sharing.

4. Portal Submissions and Records

VILA Ops may receive and store work-related records such as form submissions, inspection photos, device/asset details, time-off requests, route or operational notes, profile information, account changes, messages, reactions, read receipts, AI-assisted flags, exports, approvals, denials, and admin actions.

Submitted records are company business records. Employees should not expect to edit or delete original records after submission unless an approved correction process is used. Admin corrections should preserve the original record where appropriate.

5. Company Monitoring and Review Notice

VILA Ops is a company work system. Information submitted through the portal, including chat activity, direct messages, uploaded photos, timestamps, GPS tied to specific forms, device/browser details, read receipts, and audit logs, may be reviewed by authorized management/admins for legitimate business purposes including safety, scheduling, compliance, payroll support, HR, investigations, Amazon/DSP operations, recordkeeping, and dispute resolution.

6. Retention and Deletion Limits

Some records may be retained even after an account is archived, deactivated, or deletion is requested. Records may be kept for payroll support, personnel records, safety, investigations, audits, legal defense, contractual obligations, operational history, device/asset tracking, and business recordkeeping. Requests are reviewed through the privacy/request workflow.

7. System Availability and No Guarantee

The portal may be unavailable due to hosting, internet, device, browser, maintenance, Firebase/Google services, or other technical issues. Users remain responsible for following management instructions, reporting issues, and completing required work-related steps through alternate approved methods when needed.

8. Changes to These Terms

Villagrana Logistics Inc. may update these Terms as the portal changes. Continued use after notice or acknowledgment may be required as a condition of continued portal access.
